Event Details

How many days is the event?

The 2025 DSET Conference will be a three-day event running from the 8th to the 10th of July.

What does a "hybrid event" mean?

DSET has an in-person live event in Bristol, UK, and also live streams to a virtual platform via RingCentral.

Who attends DSET?

We have a high percentage of serving military attendees as well as academia and large number of MS&T (Military Simulation & Training) industry suppliers.

Who should attend DSET?

DSET is a unique conference and community, designed to contribute to the advancement of Defence Simulation, Education and Training in the Armed Forces & Blue Light Communities. 

Attendees come from military, academia, government and industry. Working across Defence, Security, Adult Education, STEM, Wargaming, Serious Games and Medical.

Roles include: middle and senior leaders, policymakers, scientists, applied researchers, engineers, simulation professionals, military personnel (including end users), teachers, trainers, and course designers. Exhibitors will send their business development professionals to showcase their companies’ products and services.

DSET is an international conference and welcomes attendees from global locations. Visit the Attendee Justification page, which contains more information for overseas attendees visiting the UK for the event.

What does a DSET registration include?

Full registration includes Access-All-Areas throughout DSET, coffee break refreshments, lunch and the DSET Show Floor Hospitality Evening. 

Each delegate also receives:

  • Conference bag with an event guide and exhibitor literature.
  • Access to the virtual platform to post questions during the conference sessions, watch sessions remotely, speed network, explore exhibitor profiles and connect with other attendees via DM or video call.
  • Conference stream recordings are also published and will be available for up to 3 months after the event has ended.

Where can I find the timings of the programme?

The programme list’s the days and session times, which you can find here.  The programme will also be shown in the event guide and on the RingCentral Virtual Platform.

Are food and drinks included?

Yes, there is tea, coffee and lunch provided with your event ticket. There will also be a complimentary networking drinks event.

Attending the Conference

How can I gain approval from my organisation to attend DSET?

What clothes/uniform should I wear?

Military personnel are to regard their attendance as a duty and represent their Service to the highest standard.  Please refer to your respective service regulations for attending events in uniform.

Government employees (non-military), academic staff and industry delegates are advised to wear smart/business attire.

Applicable to all attendees: for any evening activities associated with the conference, smart/casual attire can be worn.

What are the options for attending DSET?

You can attend in-person in Bristol, UK,  and have the option to attend virtually via the RingCentral platform, or do a mixture of both.

If you wish to attend virtually and not in person, then please select a virtual only ticket when registering.

Is there a quiet space?

There will be a dedicated Quiet Room on the first floor for attendees use. Please speak to the DSET team when you feel you may need this.

Booking

How do I register for the conference?

Visit the Registration page to select your ticket. There is a short registration form to complete before checkout.

As directed on the Registration Form, for Military and Government attendees – organisation firewalls may block communications and access to the virtual platform (RingCentral).  To ensure you receive confirmation emails and notifications, it is suggested you use a personal email to register, and provide your military/government email on the form to confirm your eligibility for the free ticket.

To access and view the event on RingCentral, you may also need to use a personal device – Chrome and Firefox provide the optimal functionality.

In all cases, please check Spam/Junk for confirmation emails.  These will come from “[email protected]”.

If I buy a ticket will I get access to the virtual platform also?

Yes, a full access in-person ticket will enable you to use the virtual platform also. You can use this function on your desktop, mobile device or a tablet to take part in the Q&A during live speaker sessions as well as networking across the in-person and virtual event.

Can I buy a virtual only ticket?

Yes we have a virtual only ticket option. Select this option on the ticket type on the registration page on RingCentral.

What are my options if I have bought a ticket to attend in person, but found that I can’t travel at the last minute?

If you purchase an in-person ticket you have full access to the virtual platform so you can attend DSET virtually and make the most of the live speaker streams, interactive Q&A for talks and networking available.

I'm a student, how do I get a ticket?

If you are a student, use your university email address to register for the free Military/Academia/Government ticket.

I'm in the military, how do I get a ticket?

If you are full-time serving military, when registering for the free Military/Academia/Government ticket, you must provide your work email address on the registration form. The DSET team may contact you to request proof of ID to authorise your ticket.

How do I access the virtual platform?

When you have registered you will receive a link to the virtual platform. If you can’t find the email please check your spam for an email from [email protected].

Exhibiting & Sponsorship

How do I book as an exhibitor for DSET?

Where can I find the exhibition floor plan?

The floor plan will shown in the printed event guide and will be uploaded to the website before the event here.

DSET Workshops

Are the DSET workshops included in the registration?

Yes, your full registration provides admittance to all conference sessions, workshops and areas of the DSET event.  Workshops are usually delivered on the final day of the event (Thursday).  NB: this is subject to change and a review of the current programme is strongly advised.

What do the Workshops involve?

The workshops are up to 90 minutes long and generally involve a lecture-style presentation from a subject matter expert or team. Audience sizes can vary, and some workshops may require audience participation or breakout work in smaller groups.

How do I submit a workshop for consideration?

DSET is your resource!  If you are Military, Academia or Government, and you want to contribute to the programme’s value by delivering a workshop, we would love to hear from you.

Please contact [email protected] – providing an outline of the workshop you intend to deliver, who the workshop can benefit, learning objectives and potential outcomes/applications for attendees.

Timelines for the event:

  • Workshop proposals are to be submitted NLT end of February.  
  • Notification your workshop has been approved will be sent by the end of March. 
  • If using, slide decks are to be provided by the end of May.
  • Creation and production of any printed materials and literature are the responsibility of the workshop instructor.

I am industry, can I submit a workshop for consideration?

Industry attendees interested in delivering a workshop should liaise with their organisation as delivery of a workshop can be included in the Workshop Sponsorship package.

Paper Sessions - New for 2025!

Are the DSET Paper Sessions included in the registration?

Yes, your full registration provides admittance to all conference sessions, workshops and areas of the DSET event.  Papers Sessions are usually delivered on the final day of the event (Thursday).  NB: this is subject to change and a review of the current programme is strongly advised.

What do the Paper Sessions involve?

Each paper session includes presenters who deliver talks on full-length papers. The sessions are up to 90 minutes long and generally involve a lecture-style presentation from the author with visual aids and/or slides.  Each presenter speaks for 20 minutes, followed by 5 minutes of Q&A, followed by time to transition to the next presenter.  Audience sizes can vary.

How do I submit a paper presentation for consideration?

Researchers, scientists, practitioners, and decision-makers are encouraged to submit topical abstracts from August to December each year. Each abstract is peer-reviewed by the DSET Academic Sub-Committee. 

Full papers are due in January when the subcommittee meets to discuss their peer reviews of each paper and to vote on which to accept. Often the subcommittee members will identify necessary edits or other comments; the paper author will be contacted with these questions and edits. The authors then have until the end of February to complete the revisions and submit final versions.

Paper presentation slides must be created in MSO PowerPoint and submitted by the end of March. Edits may be requested, and the final versions are due by the end of May ready for the paper session delivery at the event.

How are the papers and their corresponding slide presentations reviewed?

The abstracts and papers are reviewed by the DSET Academic Sub-Committee.  Members of which have been invited and selected based on their expertise and professional experience. 

They have the authority to implement a review process as they see fit.  However, all papers are judged based on their quality, relevance, timeliness, and potential appeal to the audience.  Papers with a significant “sales pitch” approach that only highlights a product or service without providing further insight or value to attendees will be rejected.

The subcommittee members review the abstracts and papers independently and then meet to discuss and vote on the submissions. 

Slide presentations will also be reviewed independently.

What is the acceptance rate for submitted papers?

This is a brand new feature of the DSET event, commencing as a pilot in 2024.  Therefore, submission success rates are currently unknown.  However, provided the paper meets the standard expected (relevance, value and quality) it is more likely in the coming years your paper will be accepted.

As awareness and popularity of the DSET Paper Sessions increase, the number of submissions will likely increase, and it will become more competitive.  When the time is right, it may even be feasible for us to consider offering a Best Paper DSET Award.

Travel & Hotels

Where should I stay during DSET?

Several hotels will give you a discount on room bookings. Details on how to book at the discounted room rates are provided in the confirmation email you receive once you have booked your ticket.
